For cleaning businesses

Many business owners in the trade know these situations well. Under each one you can read what Ainio does for you.

  • Weekly cleans have to be counted and invoiced by hand every month.

The visits in the contract go into your calendar, and the month’s invoice is ready and waiting on billing day.

  • The door code is lost somewhere in a message thread when you’re already at the door.

When the customer gives the door code in a message, you see it right there with the clean.

  • The customer claims afterwards that the bathroom wasn’t cleaned.

The cleaner photographs the site before and after cleaning. The photos become a report that shows when they were taken.

  • The customer cancels tomorrow’s clean, and there’s a gap in the day.

You get a reply ready for the customer, and Ainio suggests another job for the freed-up time if a suitable one is available.

  • Is it better to take one big move-out clean or many small home cleans? In the Huippu plan

Ainio tells you which of the jobs on offer fit into your week and which of them earn you the most. You also see why the others were left out.

Try it free for 30 days and get set up in about 10 minutes. Nothing goes to the customer without your approval.

Frequently asked questions

What cleaning businesses often ask

Here are the answers to the questions cleaning businesses ask before they start using Ainio.

How are recurring cleans handled?

An accepted quote becomes a contract with a monthly price or a price per visit. When you choose the frequency, time and cleaner, the visits go into Ainio’s calendar eight weeks ahead. On billing day the month’s invoice waits for your approval in the Not invoiced list. The visits are not copied to Google or Outlook calendar.

How does Ainio handle keys and door codes?

If the customer gives the door code or where the key is in a message, Ainio picks it up and shows it with that customer’s visit. You can also enter it on the visit yourself. Only your company’s users see it, including in the cleaner’s day view, and Ainio never repeats the code in a reply. Information picked up from a message is deleted a day after the visit.

What happens when a customer cancels a clean?

Ainio recognises the cancellation and drafts a short acknowledgement. If an accepted job or an open quote fits into the freed-up time, Ainio suggests it. You remove or move the visit in the calendar yourself. If the contract is billed per visit, the cancelled visit is left off the invoice.

Can the invoice be sent to the property manager as an e-invoice?

You can add an order number, reference, cost centre and e-invoice address to the invoice. Ainio picks up the order number from the customer’s message. From the invoice you get an e-invoice file (Finvoice), which you send through your own e-invoicing service or bank.

How does the household deduction show on the invoice?

When the customer is a private person, Ainio can itemise on the invoice the share of labour that qualifies for the household deduction. This works when the price list row has a share for materials, which can also be €0. Ainio doesn’t calculate the deduction itself; the customer is pointed to vero.fi. No share is itemised for businesses or housing companies.

Does Ainio use my own price list?

Yes. You can import the price list as a PDF or an image or paste the rows in as text, and a row can have a unit, such as an hour or a square metre. Ainio works out the quote’s prices and total from your price list rows and never makes prices up. If a quantity is missing, the reply asks the customer for it. Every reply waits for your approval.

Does Ainio do the bookkeeping or payroll?

No. Ainio doesn’t replace your accounting software or run payroll, and hours aren’t logged per person. In invoicing you can gather the month’s invoices into one package for your accountant.

Is Ainio quoting and invoicing software for cleaning businesses?

Yes, and a bit more. You make your quotes and invoices with Ainio, and you also get replies to customer messages ready, jobs in your calendar and a view of which invoices have been paid. The bookkeeping is still done in your accounting software.

How much does Ainio cost?

Plans start at €99 a month (+ VAT), and depending on the plan you can have up to 3, 8 or 15 users. You can try Ainio free for 30 days, and during the trial you get the full Huippu plan (with trial usage limits). There is no lock-in, and you can cancel at any time.
