For wholesale and equipment sellers

Many business owners in the trade know these situations well. Under each one you can read what Ainio does for you.

  • A customer asks for a price by email, and the agreed price is in someone’s head or in Excel.

You get the quote ready with the prices from your price list, and the customer’s agreed price or volume discount goes on the row automatically.

  • The customer asks when the goods will arrive, and you have to dig the answer out of the supplier’s emails.

You get the purchase order as a PDF from the quote’s rows, and Workflow shows which order is still waiting for goods.

  • A big order is delivered in parts, and a delivery note and an invoice are made by hand for each one.

You log the delivered products with their serial numbers, and for each delivery you get a delivery note and an invoice ready.

  • The warranty on a device you sold runs out, and nobody remembers to tell the customer.

Ainio saves the delivered devices on the customer with their warranty periods, and you get a reminder when a warranty is about to end.

  • There are more installations than fit into the week, and it isn’t clear which orders are worth taking first. In the Huippu plan

Ainio tells you which of the jobs on offer fit into your week and which of them earn you the most. You also see why the others were left out.

Try it free for 30 days and get set up in about 10 minutes. Nothing goes to the customer without your approval.

Frequently asked questions

What wholesale and equipment sellers often ask

Here are the answers to the questions wholesale and equipment sellers ask before they start using Ainio.

Does Ainio suit a wholesale business with thousands of products?

Ainio suits businesses that sell and deliver orders to business customers based on quotes. You can import a supplier’s price list as a file. If you sell thousands of products in an online shop and need picking and stock accounting, you’ll need a separate inventory program alongside Ainio.

How do a customer’s agreed prices and volume discounts work?

Under Agreed prices on the customer card you enter the customer’s contract price for a product or a general discount, and a price list row can have a volume discount. Ainio works out the price in the quote itself and tells the customer why, for example “contract price” or “volume discount −10%”.

Can an order be delivered and invoiced in parts?

Yes. With the Record delivery button you log the quantities, recipient and serial numbers for each delivery. For each one you get a delivery note as a PDF and an invoice ready, and an invoiced delivery can’t be deleted by mistake.

Does Ainio send the purchase order to the supplier?

No. Ainio makes the purchase order as a PDF from the accepted quote’s rows with product numbers and purchase prices, and you send it to the supplier yourself. When you enter the purchase order number on the order, Workflow shows the order at the Goods on the way stage.

How does the customer approve a proof for logo products?

You choose the proof from the order’s images, write a short description and ask for approval. The message goes to the customer only when you approve it. The customer opens the proof from a link and approves it or asks for a change, and the answer shows on the order in Workflow.

Does Ainio remember the warranties of devices you’ve sold?

Yes, when a warranty period has been entered on the order. Delivered devices are recorded on the customer’s site, and the Sites page shows when the warranty ends. Ainio drafts a reminder to the customer before the warranty ends, and it goes out only once you approve it.

Can the invoice show the customer’s order number and cost centre?

Yes. Ainio picks up the order number from the customer’s message, and the invoice has fields for the order number, reference and cost centre. From the invoice you get an e-invoice file (Finvoice) for your own e-invoicing service.

Is Ainio quoting and invoicing software for wholesale and equipment sellers?

Yes, and a bit more. You make your quotes and invoices with Ainio, and you also get replies to customer messages ready, jobs in your calendar and a view of which invoices have been paid. The bookkeeping is still done in your accounting software.

How much does Ainio cost?

Plans start at €99 a month (+ VAT), and depending on the plan you can have up to 3, 8 or 15 users. You can try Ainio free for 30 days, and during the trial you get the full Huippu plan (with trial usage limits). There is no lock-in, and you can cancel at any time.
