For construction and renovation businesses

Many business owners in the trade know these situations well. Under each one you can read what Ainio does for you.

  • You forget to photograph the waterproofing before the tiling.

The renovation is split into stages, and you get a reminder to photograph the waterproofing before the tiles cover it.

  • An instalment goes uninvoiced even though the stage is already finished.

When a stage is finished, you get a reminder and an invoice ready for that stage’s instalment.

  • Extra work is agreed verbally on site, and the invoice leads to a dispute.

You log the extra work, and the customer approves it from a link with their name.

  • The subcontractor doesn’t confirm when they’ll come to the site.

Ainio writes the work order and a link where the subcontractor confirms the time. The confirmed time goes straight into your calendar.

  • Is it better to take one big renovation or many small jobs? In the Huippu plan

Ainio tells you which of the jobs on offer fit into your week and which of them earn you the most. You also see why the others were left out.

Try it free for 30 days and get set up in about 10 minutes. Nothing goes to the customer without your approval.

Frequently asked questions

What construction and renovation businesses often ask

Here are the answers to the questions construction and renovation businesses ask before they start using Ainio.

How do instalments work?

You can bill the job with an advance invoice, a booking fee or up to five instalments of your own before the final invoice. When you link an instalment to a stage on site, Ainio reminds you to invoice it when the stage is finished and makes the invoice from the quoted price. The final invoice has the full price with extra work, minus the instalments already invoiced. The invoice goes out only once you approve it.

How does the customer approve extra work?

You log the extra work with its price in the job details and ask for approval. Ainio makes an approval link for the customer. If the job came in by email, Ainio drafts a message in the same thread, and it goes out when you approve it. Otherwise you share the link yourself. The customer approves the extra work by typing their name, and the name and time are saved. Extra work moves to the final invoice.

How does ordering work from a subcontractor?

In the job details you choose the partner, task, day, times and price. Ainio writes the work order and a confirmation link, and you send the text to the partner yourself. The partner confirms the time from the link without logging in, and the time goes into your calendar. If the confirmation is missing three days before the job, or the contractor’s liability report is about to expire, Ainio reminds you. You enter the report’s expiry date yourself.

Does Ainio have a site diary?

Yes, a simple site diary. Each day gets one entry. Ainio suggests the weather from the Finnish Meteorological Institute’s forecast along with the day’s finished stages and working time, and you or a worker add notes on the phone. You can get the diary as a PDF, for example for the property manager. Ainio never sends it to anyone on its own.

Does Ainio remember the reverse charge VAT?

When you invoice a business, Ainio reminds you about reverse charge VAT in the invoice check. You decide whether to use it, and then the invoice gets a reverse charge note. Consumers and housing companies get no reminder.

How does the household deduction show on the invoice?

When the customer is a private person, Ainio itemises on the quote and the final invoice the share of labour that qualifies for the household deduction. This works when the share of materials is in your price list or logged on the job. Ainio doesn’t calculate the deduction in euros; the customer is pointed to vero.fi. The invoice check reminds you that, for example, new construction doesn’t qualify.

Do I still need accounting software?

Yes. Ainio makes the invoices and keeps track of payments, but the bookkeeping is done in your accounting software. In invoicing you can gather the month’s invoices into one package for your accountant.

Is Ainio quoting and invoicing software for renovation businesses?

Yes, and a bit more. You make your quotes and invoices with Ainio, and you also get replies to customer messages ready, jobs in your calendar and a view of which invoices have been paid. The bookkeeping is still done in your accounting software.
